Who we are

Dubock Funerals Pty Ltd is committed to protecting the privacy of our clients, in accordance with the Privacy Act 1988 (Commonwealth of Australia).

Our privacy policy applies to clients of Dubock Funerals Pty Ltd. 

The policy explains the type of information that we ask you to provide, how it is collected, what it is used for and how it is managed.

In accordance with the Privacy Act Amendment 2000 it also outlines how to request access to personal information that you have provided.

It is our understanding that clients who have engaged our funeral services and have provided us with information, agree to the terms of our privacy policy and consent to the use of the personal information to enable provision of a funeral service.

The type of information that we ask you to provide

We collect personal information in order to provide our at need or prepaid funeral services. This includes information about clients engaging our services, the deceased person and related parties.

Information may include, but is not limited to; names, dates of birth, gender, marital status, addresses, occupations, next of kin details, contact phone numbers, email addresses, billing information and when applicable, financial details including funeral bond details and credit or debit card details (when applicable). Card details are kept temporarily until payments are authorised, they are not digitally stored. 

While clients are under no obligation to provide all of the information requested, withholding information may not allow us to provide you with funeral related services or products that are dependent on the collection of information. 

How we collect information

In order to provide our funeral services we will collect information from you in the following ways:

  • Information is collected via email interaction or contact initiated with us through our website for the purpose requested.
  • Information is collected over the phone or in person when initial contact is made by clients requesting quotes or requesting to use our funeral services or related services or products. 
  • Information is collected in person, over the phone, via video conferencing or via email when arranging funeral services.
  • Information is collected over the phone, via email, via post or in person when arranging prepaid or pre-arranged funeral services. 
  • Information may be collected from existing records, when applicable
  • Information is received from third parties including; doctors, hospitals, the Coroner’s Court (Victoria), cemeteries, financial services managing funeral bonds in order to provide funeral services or provide funeral related services or products.
  •  Information is collected via email interaction or contact initiated with us through our Dubock Funerals website for the purpose requested.

What the information is used for

Information collected is used to carry out the services that we provide. We rely on third party service providers for some our services and may be required to provide information in order to secure services, for example information provided to cemeteries to arrange cremations and burials. Information provided to third parties is limited to information that they require in order to perform agreed tasks, as authorised by the third party or required by law. 

Information may also be used for internal business management processes and to comply with regulatory or legal requirements. It may be used to contact clients in order to finalise post-funeral related processes and for the purposes of billing and debt recovery functions.

Management of information

We take reasonable measures to ensure that information provided to us is securely stored and protected. 

With the exception of information provided to third parties to provide funeral related services, information is accessed only by our staff members. Staff members are instructed to keep client information confidential and follow company procedures related to the sharing of information.

Digitally stored information has security systems in place, including; the use of firewalls, user identifiers, passwords and access codes. 

Should a circumstance arise of a suspected breach of data containing personal information, we will immediately assess whether the breach is likely to result in harm to one or more individuals. If there is a likelihood of harm, we will notify the Office of the Australian Information Commissioner (OAIC) and all individuals that may be impacted, in accordance with the Notifiable Data Breaches Scheme (Privacy Act 1988).

Access to information

Whilst we make every effort to ensure information that we hold is accurate we are reliant on information provided to us by our clients and third party providers.

Clients have the right to access information that they have provided and the right to seek to correct information, when required.
